How it is today

At the end of the month you chase sheets

With five technicians you do it by hand. With twenty-five, across different customers, the first days of the month go on collecting hours.

Sheets by email

Everyone sends theirs when they can. Some need chasing twice.

Several customers on one sheet

To invoice you have to split each customer's hours by hand.

Times to copy

From the sheet to the file for payroll, with the risk of mistakes.

Everything waits

The customer invoice and payroll only start when the last sheet is in.

The outline

Five steps, from projects to files

1
The projects

Each customer has a project, and whoever works on it is assigned to an activity. In the report they see only those.

2
The times

Elena writes the times on the phone or in the browser. Fill weekdays prepares the month, then she changes only the days that differ.

3
The validation

At the end of the month Elena validates. From then on she cannot change it unless she removes the validation.

4
The panel

The office sees one row per person: who has validated, who is in draft, who has not started. It checks and approves.

5
The files

The PDF of one project goes to the customer for signature, the month's Excel goes to whoever runs payroll.

The story

A month of Elena

Early November
The month ready

Elena opens the report and uses Fill weekdays on support, 9-13 and 14-18. Every day already has its 8 hours.

Mid November
Another job

For four days she is on the new installation. She removes the times from support and writes them on the other project.

Late November
Holidays

The two approved holiday days are orange, and Fill weekdays had already skipped them.

The 30th
The validation

Elena checks the total, 152 hours, and validates the month.

December 1st
Who is missing

Anna opens the panel. Two people are still in draft and one has not started, so she calls them.

December 2nd
The correction

Luca got a time wrong. Anna opens his report, corrects it and approves it with the others.

December 3rd
The files

Anna downloads the support PDF for the customer and the Excel for payroll. Invoice and payroll go out.

The report collects times, it does not calculate pay and overtime, which stay with whoever runs payroll. Elena sees only her report, the office sees all of them.

Names and figures are made up.
