A studio of 12 people that works for customers on projects, at a fixed price or by the hour. We follow one project from the request to the second instalment, and see whether it is paying off.
Book 30 minutesEvery project has its own spreadsheet, every person their own way of noting hours. At the end of the year the turnover is clear. Which projects paid off and which did not, much less so.
Everyone has their own file. At the end of the month you ask everyone to send it in.
The halfway instalment gets invoiced when someone notices.
The licence or the freelancer paid for a project never ends up on the project.
You find out after delivery, when nothing can be fixed any more.
The customer's request, with the attached document, becomes a quote with AI. Prices come from the price list.
The customer asks to drop a part. A revision is created with its own number, linked to the first version.
The customer accepts online from their account. The answer lands on the quote.
Fixed price with three instalments, or by the hour with an estimate. Activities, people and expected hours.
Everyone logs their own, from their phone too. They only see the projects they work on, with no rates or margins.
A supplier invoice is allocated to the project, or split across several. On the due date the instalment becomes to invoice.
The customer books calls in the free hours of whoever runs the project. After delivery, support goes through the ticket portal.
The customer sends an email with a four-page document.
Sara attaches the document. Lines from the price list, €18,000.
The customer drops a part. The revision comes to €15,000.
The customer clicks "I accept" from their account.
Three instalments of €4,500, €6,000 and €4,500. 300 expected hours.
Four people log theirs. Each has their own hourly cost.
€900 for two projects. €600 of it goes on this one.
It falls due and becomes to invoice. Once the invoice is recorded, the project is back on track.
The expected margin compares the value with the costs so far, and tells you whether the project pays. The current margin compares the costs with what you have already invoiced, and tells you whether the invoices already cover the expenses.
The invoice is issued by your accounting software or your accountant. Here it is recorded, so you know what is left to invoice and to collect.
The AI writes the quote lines and never decides prices. If a price is neither in the request nor in the price list, the line is left to complete.
Whoever logs hours does not see the project value, the rates, the margins or even their own hourly cost. The database guarantees it.
The quote with AI, the project, the instalments and the invoices are prepared in the browser. Hours, calendar and tickets also work in the app.
Example built on the modules that exist today. Names and figures are made up.
