From finding customers to the invoice, in one place

A company that sells to other businesses, with two salespeople and an office. We follow a campaign from the local search to the first invoiced order.

Today

New customers are found by hand

Bought lists, contacts in a spreadsheet, outcomes in the head of whoever made the call. When a salesperson leaves, the history of their contacts leaves too.

Bought lists

Many addresses no longer exist, and the sector is often missing.

Contacts in Excel

Who was called, and what did they say? Only the person who phoned knows.

Quotes in Word

Numbers typed by hand and three versions of the same document.

Invoiced or not?

The order has gone out. Has the invoice been issued? You ask accounts.

The outline

Six steps, from the search to the invoice

1
The search

Categories and area, for example 15 km around the office. The system finds the companies that are not in your records yet.

5
Quote and order

The quote is built from the price list. Once accepted, one click turns it into an order, which follows the delivery until it is fulfilled.

6
The invoice

The invoice from your accounting software is recorded on the order. What is left to invoice and to collect stays in view.

The story

One campaign, up to the first order

Monday
The search

Two categories, 15 km around the office. 140 companies not yet in the records.

Tuesday
The check with AI

Email found for 85. Laura, in the office, approves what goes into the records.

Two weeks
The calls

Giorgio and Silvia make the calls. Every outcome gets its note and its status.

After the call
The email

Those who ask for information get an email, with a draft written by AI.

The following Thursday
The visit

Laura books Giorgio's visit to one of the seven in the calendar.

The next day
The quote

Laura builds it from the price list. €3,400, and the PDF goes out with Giorgio's email.

A week later
The order

Accepted. With "Create order" the lines move into the order, which goes all the way to fulfilled.

End of the month
The invoice

Recorded on the order. The order shows as invoiced, the invoice as still to collect.

The invoicing status is never set by hand. The system works it out by comparing the order with the linked invoices. When the transfer arrives you tick "Collected" with the date.

Good to know

What the system does and what it doesn't

You decide how many companies each campaign searches for, so searches stay under control.

The AI suggests and you approve. Each suggestion comes with its reliability level and a link to the page it came from.

Emails are sent one at a time, from the contact's page. Usually after the call, because the rules on email marketing apply between businesses too.

The invoice is issued by your accounting software or your accountant. Here it is recorded on the order.

Search, checks and campaigns work in the browser. Quotes and orders also work in the app.

Example built on the modules that exist today. Names and figures are made up.
